ERP Mechanics Develops Custom E-mail Business Rules with Lasernet to Support Ever Ready First Aid’s Document Delivery Requirements

Ever Ready First Aid, a division of SZY Holdings, LLC, supplies OSHA/ANSI-compliant first aid kits to government, military, and commercial clients. Based in Brooklyn, NY, the company has over 30 years of experience delivering high-quality, customized medical supply solutions.

 

Ever Ready has been successfully using Lasernet to support and handle its document management requirements, including creating and sending out customer documents like invoices and statements for several years.

 

The Challenge

 

A recent requirement arose for Ever Ready based on ongoing customer feedback requests, asking for their invoices and other order documents to be delivered in a diverse set of formats which were outside of the default settings in Lasernet or Microsoft Dynamics 365 F&O. The default business rule within Lasernet OOB, is that one email is sent per document that is created.

 

What Ever Ready came to realize was that some of their customers would want one email sent per each document that they requested; while others in a second scenario would want one email sent with all of their requested business documents attached to it, and lastly in a third scenario some others would be requesting that they wanted all of the documents placed into one pdf to be delivered in one email.

 

Based on those three possible document delivery scenarios, a fourth scenario emerged whereby there were customers who would contact Ever Ready and ask them to change their document delivery preference from one way to the other. This accommodation became cumbersome and difficult to track.

 

As Ever Ready’s Lasernet support partner, ERP Mechanics began working on a solution.

The Solution

 

The ERP Mechanics team reviewed all the given requirements and began creating new business rules to modify Lasernet’s workflows to accommodate each different mail merging and customer document delivery scenario. ERP Mechanics established pre-defined destination rules that were set up to be triggered by the customer account for automated processing.

 

In addition, a fourth method was developed to allow these email business rules to be dynamically changed based on customers who request to change their document delivery preferences.

 

If a customer were to contact Ever Ready, requesting a different delivery method for a specific document, Ever Ready users were trained to now include a specific keyword in the email that would redirect the email delivery and override the pre-selected method of document delivery for this specific instance.

 

This flexibility within Lasernet enabled ERP Mechanics’ consultants the ability to customize Ever Ready’s document delivery to adapt and meet their customers’ needs in a dynamic way that ended up saving both themselves and their customers both time and money.
