Teams are resorting to manual workarounds

When an ERP can no longer keep up, users return to their old habits, including spreadsheets. This isn’t unwillingness to use the ERP – it’s people finding ways to bridge what the system can’t do. The trouble is that, over time, workarounds stop being temporary fixes and become another form of infrastructure the business relies on.

The cost of that isn’t immediately visible on a balance sheet, but it shows up everywhere else. Each spreadsheet exists outside of what was meant to be the organization’s single source of truth, meaning someone has to keep it in sync manually. Every transaction processed in the ERP creates more work elsewhere, and these work hours add up quickly.

Workarounds of this nature are common – 64% of companies still use spreadsheets in some way to support their payment processes. In the UK, research into UK SME finance and accounting departments found that just 20% had adopted automated invoice processing, while 39% still relied on Excel spreadsheets and manual processes.

Signs to look out for:

A few common signs suggest you’ve crossed from using spreadsheets as a temporary solution to making them a core pillar of your infrastructure. The first is the master spreadsheet: a single business-critical file for pricing, forecasting and financial consolidation that only a couple of people fully understand.

Another example is the disconnect revealed during the month-end scramble, when the finance team works to reconcile data across the system to make sure it’s accurate. It’s worth noting that the spreadsheets themselves aren’t the problem here – they’re great tools for ad-hoc analysis. The issue is when they become the go-to system for processes that your ERP should be able to handle natively.

2. Reporting bottlenecks are slowing down decision-making

When senior leadership asks questions, your ERP system should be able to provide the answer. In many organizations, however, it takes days to get clear answers due to outdated ERP systems. For example, generating SQL Server Reporting Services (SSRS) reports requires a deep understanding of the platform, and senior leadership has to rely on already busy internal or external developers to get a clear answer.

Slow reporting cycles are common – 50% of finance teams take six or more days to complete their monthly close, and 25% of finance teams report needing 10 or more days. When the monthly books take that long to close, reporting also lags, and decisions end up being based on outdated data.

Signs to look out for:

A few common signs that reporting has become a bottleneck include the custom report queue, where non-standard reporting requires an IT ticket, and a turnaround time measured in hours or even days.

Another sign is that teams may tire of waiting for their support tickets to be resolved, and create their own reporting dashboards using tools like Excel because the ERP doesn’t offer the views they need. Slow reporting isn’t a sign of a poor team – it often means the ERP system isn’t pulling its weight.

3. The system can’t keep up with growth

Legacy ERPs were designed for the way businesses used to operate. Adding a new entity, expanding to a new country or absorbing an acquisition exposes the limits of these ERP systems, and it’s usually at the very moment you can least afford the disruption. When these ERPs lack the features or the stability companies need, expensive customization projects arise, and each customization makes future upgrades more challenging.

The consequences are visible and can be severe. For example, after acquiring Elizabeth Arden in 2016, Revlon attempted to consolidate its operations onto a SAP S/4HANA platform, but the rollout caused major disruption. Revlon admitted it was unable to fulfill product shipments for around $64m in net sales, and the company incurred $53.6m in incremental charges to remediate the decline in customer service levels.

Signs to look out for:

A few common signs that suggest your ERP is limiting growth include every new entity, country or sales channel triggering a multi-month initiative that requires external consultants, customization and high costs. Another is an integration backlog, where new tools and platforms can’t go live without weeks of middleware work. Growth always tests systems, but a modern ERP should accommodate change rather than block it.

4. Integrations are fragile at best

A modern ERP is built to integrate with other systems, communicating directly with your CRM, e-commerce platforms, payment processing tools, project management platforms and more. Older ERP systems tend to use proprietary technology that requires specialized (usually costly) custom code for every integration, rather than plug-and-play connectors.

The consequences of weak integration are not just inconvenient – they include inaccurate reporting, missed shipments, billing errors and other unfortunate outcomes. There’s also the cost angle to consider. Organizations spend between 60 and 80% of their IT budgets on maintaining existing systems, including legacy ERPs. With every outdated feature comes a costly customization, and every customization adds to this already high maintenance burden.

Signs to look out for:

If your ERP integrations aren’t working as they should, you’ll soon know about it. One of the first signs is rising operational costs due to inefficiencies, as manual workarounds, duplicate data entry and error correction consume time and resources that could be better used elsewhere.

Another sign is less trust from users. If your team constantly encounters inaccurate or incomplete data, they’ll start to bypass the system altogether. Adoption rates will plummet, and the use of shadow tools (like spreadsheets) will mean teams end up working with entirely different datasets.

5. Compliance and risk are becoming difficult to manage

Regulatory requirements never sit still for long. If your ERP lacks the controls, audit trails and reporting features needed to keep pace with change, the burden naturally falls on your team. They end up spending more time manually collating the evidence needed, and this type of work is expensive, error-prone, and difficult to defend should regulators or auditors need to dig deeper.

But the risk isn’t just regulatory penalties (although those can be significant), it’s that compliance becomes a new project every time the rules change. In highly regulated industries, such as financial services, manufacturing and healthcare, the consequences of non-compliance can be disastrous, including fines and reputational damage that is hard to come back from.

Signs to look out for:

There are a few ways to tell if your compliance posture has drifted into riskier territory. First are internal reactions to external audits. If audits trigger many weeks or even months of unscheduled work to assemble evidence, your ERP has a problem. Another is when every regulatory change turns into a project of its own. Something that could be a relatively simple configuration update instead requires formal scoping and developer time, which often stretches over weeks.

What to do if you recognize these signs

If one or two of these signs are familiar to you, your current ERP is likely functional but is costing you time. If four or five resonate, the question becomes: which new ERP system is best for your business?

ERP implementation projects are a significant undertaking, but done right, they bring a host of benefits to organizations big and small. Unlike legacy systems, today’s cloud ERPs are designed to prevent the problems explored above. They’re built to scale, integrate with the systems you rely on easily and automate time-consuming manual work.

If you recognize these signs in your own organization, the next step doesn’t have to be a full system overhaul on day one. The right starting point is a clear-eyed assessment of exactly where your current ERP system is holding you back.

Partner with ERP Mechanics for your ERP implementation

If your organization is preparing to implement a new ERP system, ERP Mechanics offers a focused, specialist approach built around Microsoft Dynamics 365 Finance and Operations. Complex document creation and distribution processes that require developers, dealing with large volumes of data, endless formatting issues and data silos – all of these problems hinder productivity, lead to delivery issues and generally act as a thorn […]

Plus, reliance on RDL files for report definitions makes SSRS inaccessible to business users without coding experience.

Configuration and scalability

SSRS tends to require manual environment setup, which adds complexity and time to the deployment process – not what you need when important documents need to be created and sent out. We can confidently say that we’ll be back next year!

Our Community Summit exhibit experience feels like a big moment for the team. This last year has been defined by growth, as we’ve recently launched operations in two new markets: the US and the UK. With lots of exciting things happening for team ERP Mechanics, it was nice to step away from the screen and spend some time reconnecting with so many familiar faces. Getting to spend quality time with our customers and partners in person was a real highlight – there’s no substitute for these in-person conversations. It’s where the real connection and collaboration happen!

We came back from the Community Summit feeling invigorated and excited – feelings we’re sure other exhibitors and attendees shared. Now that we’ve had some time to unpack (both our suitcases and our thoughts on what we learned), we wanted to share what really stuck with us.

1. The summit was packed with a great combination of insightful sessions, plenty of networking opportunities and a healthy amount of fun on the exhibition floor.

The breadth of the agenda was particularly impressive – sessions covered all things Dynamics, ranging from deep dives on creating multi-agent AI systems and autonomous agents, to managing tariffs and trade volatility within the Dynamics ecosystem. There really was something for everyone to get their teeth into.

2. People love a challenge

To bring some extra energy to the exhibitors’ hall and give everyone a break from all things Dynamics for a short time, we set up a basketball hoop at the ERP Mechanics booth. This certainly piqued people’s interest, with many keen to try their luck and win the ultimate prize: a signed basketball from Shaquille O’Neal!

It was fantastic to watch people line up to show off their skills, and we were thrilled by the response! By the end of the Summit, we had tallied over 200 shots taken by attendees. It was a great way to meet people and have a few laughs in between all of the insightful sessions the conference had to offer.

3. Buzz around document management was noticeably stronger than anticipated

While the halls were brimming with excitement about all things AI (particularly Copilot), we couldn’t help but notice that interest in document management was noticeably stronger than anticipated. We believe it shows a clear shift in how companies approach their ERP journey.

More companies are quickly realizing they need a proper document management solution much sooner in their ERP development journey than ever before. What previously may have been an afterthought is now at the front of Dynamics users’ minds. This closely aligns with our views, as we firmly believe that a strong document foundation is vital to maximizing their D365 investment.

Document management and AI

Additionally, the continued interest and questions about AI-driven document automation were clear. Attendees were eager to see how the latest AI tools can handle everything from intelligent data extraction to invoice processing.

But, amid all these conversations about how AI will impact the Dynamics community, it’s clear that human skills and insight still really matter. During one AI-focused session, speakers delivered a strong message to the audience: in an AI-driven market, collaboration is the new edge. Building on this point, IAMCP’s Paul Soski explained that “most partnerships fail not because of technology, but because of lack of structure and trust.”

The sophisticated AI tools showcased at the conference, while undoubtedly impressive, are only as powerful as the data and workflows they can access. It’s clear that practical pressures, including increased compliance requirements (such as the expansion of e-invoicing mandates in Europe and beyond), and a growing list of cyber threats, are also accelerating reliance on AI tools. Companies understand that getting their data house in order is a critical first step in making D365 work for them.

This sentiment captures the overall message of the conference perfectly, and it’s why being here in person matters. No one is doubting that AI will have a huge impact and will continue to significantly influence the Dynamics environment, but a lot still rides on strong structures and mutual trust between partners and customers.

ERP Mechanics’ focus on developing mutually beneficial partnerships is exactly how we are expanding our operations in the US and UK this year. Implementing technology successfully requires a mix of close human collaboration and deep technical expertise.

4. Dynamics Users + Partners = an important relationship

Conversations about compliance, security, and the need for document management software, as well as Soski’s point about the importance of trust and structure, point to the fact that the partner relationship is very important to the customer/user’s success.

Many Dynamics users rely on partners to get the most out of their platforms, and for good reason.
Congratulations on choosing Dynamics 365 F&O as your new ERP system! You’ve made a great decision by investing in a powerful ERP designed to help your business grow. With its ability to simplify financial management, significantly improve operational efficiency and seamlessly connect with other Microsoft and third-party tools, D365 F&O gives you the flexibility and scalability your business needs to operate optimally.

But a top-tier ERP system is only half of the battle.
Capital Lighting Fixture Company is a commercial manufacturer and distributor of lighting fixtures based in Flowery Branch, Georgia with over 1500 showroom partners and authorized dealers across the United States and Canada.

When Capital Lighting implemented Microsoft Dynamics AX 2012 as their ERP system over a decade ago, they also began using Lasernet as their document management solution. They have leaned on Lasernet to customize and create a seamless look and feel with all their customer-facing documents including invoices, statements, shipping labels, and order confirmations.

The Challenge

Capital Lighting decided it was time to implement Microsoft Dynamics 365 F&O; however, instead of treating it as an upgrade to their current AX 2012 system, they decided to implement D365 F&O as a completely new project in parallel. The idea being that once implemented they would transition over their usage to the new system. This process was different than a normal system upgrade and therefore the approach with handling the transition of Lasernet from one system to another has required its own project as well.

As an experienced Lasernet partner, Capital Lighting chose ERP Mechanics for this project.

“I am pleased to recommend ERP Mechanics for their outstanding work with Capital Lighting. Their team demonstrated exceptional expertise and a deep understanding of our business needs, which was instrumental in the successful implementation of our ERP system.

From the outset, ERP Mechanics took the time to thoroughly assess our requirements and align their solutions with our operational goals. Their knowledgeable staff not only brought valuable insights but also fostered a collaborative atmosphere that made the entire process seamless,” says Yves Grisard-Van Roey, Information System Manager, Capital Lighting

The Solution

The project involved recreating all of Capital Lighting’s Lasernet documents to accommodate the new D365 F&O data along with evaluating their existing business processes. Due to the differences between AX2012 and D365 F&O, this evaluation identified what Lasernet fields were necessary to align with the new system’s data. In addition, one of the other priorities in this work has also been to seamlessly preserve the company identity in the new forms.

“We’re proud to have been selected by Capital Lighting to help them go through this big transition that has had an impact on all areas of their business. Our deep experience in working with companies like Capital Lighting as a Lasernet partner has served us well in being able to properly support them,” says Karolis Aleknavičius, CEO, ERP Mechanics.

Choosing the best ERP system for your business is a big decision. The weight of this decision is made even heavier by the fact that between 55% to 75% of all ERP projects fail to meet their objectives. But try not to let this put you off, because we’ve got some advice to help you choose the right ERP system for your business, ensuring you meet all of your objectives.

Before You Commit to an ERP System

It’s tempting to find an ERP system that looks like the complete package and dive headfirst into implementation. We get it—you’re keen to start getting the results you’re expecting. But, before you commit to a new ERP system, there are a few steps to take to set you up for success:

Define your objectives clearly

Before contacting any ERP vendors, you need to define your objectives for the project. A good place to start is to ask yourself the following questions:

What does your business aim to achieve with the new system?

Which parts of your current system specifically are outdated?

What exactly is causing the most common bottlenecks? Which areas of the current system cause users the most frustration?

By answering these core questions, you create a benchmark to measure the ERP solutions you find in your vendor research.

Get internal buy-in

Finding a new ERP system to implement is just one component of the process—you also need buy-in from the key decision-makers. As they guide the direction of initiatives, you could be faced with a stalled or failed ERP project without their buy-in.

While key decision-makers are important, don’t forget about the users. You need their buy-in too, because, after all, they’re the ones who are going to be relying on the new system. If you don’t have their buy-in, you’ll face problems down the line.

Identify your specific ERP requirements

Before you get caught up in all the wonderful modules different ERP vendors offer, take the time to think about the specific requirements you need. It might be helpful to split the requirements into two columns, one for ‘essential’ features, the other for ‘preferable’ features, because you might not be able to find a solution that ticks all the boxes. The features in the ‘essential’ column must take priority.

Consider all areas of your business to make sure you have a crystal clear understanding of the features your chosen ERP system needs to have. A well-defined list of requirements is your best tool for filtering potential solutions and making an informed decision.

5 Tips for Choosing an ERP System

Once you’ve defined your objectives, identified your ERP system requirements and got internal buy-in, it’s time to start the search. It can be an overwhelming process, and that’s why we’ve put our heads together to bring you five tips for choosing an ERP system that meets your organization’s needs.

Assess functional fit

First of all, consider if the ERP system you’re looking at actually does what you need it to do, otherwise known as functional fit. We know how easy it is to get swept up in fancy features that sound great, but don’t align with your needs. It’s really important that the system’s capabilities match your day-to-day operations. To assess functional fit, you should consider the following:

User interface: Is the ERP system intuitive for all users of varying technological proficiency?

Business intelligence and reporting: Is the information you’ll need to access easy to find? Is report generation straightforward? Is generating insights from data a relatively simple process, or are there complicated steps involved?

Accounting and financials: Does the ERP you’re considering have all the financial capabilities you need, such as accounts receivable, payable, billing and budgeting?

Inventory and order management: Does the ERP system provide sufficient functionality to manage and track inventory? Will employees be able to learn how to use it quickly?

Supply chain: Does the ERP have demand forecasting and shipping management capabilities?

These questions around functional fit are far from exhaustive, but they give you a starting point to work from.

Deployment considerations

Now, let’s consider your deployment options. The big decision here is whether your organization would benefit from a cloud-based solution or an on-premises one, considering your team’s expertise, budget and target go-live date. While cloud-based systems appear to be the favorite, with 98% of respondents to one survey stating their ERP will become cloud-based, on-premises systems do still have their place.

As well as choosing between a cloud and on-premises deployment, you should think realistically about whether you’ll need to spend some of the project budget on external consultants to get the ERP system up and running. An honest assessment during this stage of the process will increase the chances of a smooth rollout.

Research the vendor

You find an ERP system that looks like it ticks all the boxes. You’re itching to get the ball rolling, but have you taken the time to research the vendor? Choosing an ERP vendor means entering into a long-term business relationship, and this step shouldn’t be taken lightly. Spend time researching the vendor to assess whether they’re well-established and have a clear vision for the ERP’s future development. It’s a good idea to check whether they’re frequently updating the platform to make sure it’s as valuable as possible to users.

It’s also wise to look for case studies and reviews to see what customers are saying about the system, because you might find a common thread that makes you change your mind on whether the ERP is a good fit. Taking the time to research the vendor may save you a lot of potential headaches down the road.

Consider scalability

Your organization grows and changes, and that’s why you need an ERP system that scales with you. Can the ERP you’re currently considering handle more users, transactions and data as your business grows? The key is to find a vendor that makes adding new functionalities/modules easy, giving you the flexibility you need to grow without being held back. An ERP that allows for the easy integration of new functionalities as and when they’re needed will help you not only make the most of future opportunities but also prepare for challenges.

Assess integration opportunities

Last, but by no means least, the ERP you choose needs to play nice with other software. Your ERP system will need to be able to connect with other business applications reliably, including ones you currently use and ISVs you might use in the future. Assessing which ERPs offer the smoothest integration processes will have a big impact on overall efficiency and data consistency, so it’s worth taking the time to dig into how they connect with your existing tools.

Ask the vendors you’re talking to about the system’s APIs and connectors, as well as what the typical integration process looks like. Getting this right means your business-critical systems communicate as they should, saving you and your team precious time.

Is Microsoft Dynamics 365 F&O the answer?

Microsoft Dynamics 365 F&O is a popular ERP system with organizations spanning many industries. It offers streamlined financial management, enhanced operational efficiency, scalability, real-time insights, seamless integration and global reach. The benefits the platform offers make it popular with manufacturers, retailers, automotive, construction and many more sectors.

How ERP Mechanics Supports Your D365 F&O Journey

At ERP Mechanics, we offer a range of services to support your D365 F&O journey, whichever stage you’re at. Whether through comprehensive analysis, end-to-end implementation, integrations or ongoing post-implementation support, we work to make your D365 journey a success.

Choosing ERP Mechanics for your Microsoft Dynamics 365 F&O implementation gives you access to deep technical expertise, competitive pricing and a modern, agile approach.
Retail is fast paced by nature, and it isn’t showing any signs of slowing. Consumers expect the retailers they choose to spend their money with to provide seamless experiences that make their lives easier, whether they’re shopping online or browsing your goods in a brick-and-mortar store.

For retailers, keeping up with the times requires agility, insight and a robust technology stack. If your current systems just can’t keep up the pace, it’s probably time to seek out a more modern, cloud-first ERP. So, why the shift to the cloud? It all comes down to older systems not being able to handle the speed and flexibility you need to survive as a retailer today. Cloud-based ERPs give you that much-needed agility, allowing you to scale resources to meet your customers’ needs.

The Dynamics 365 F&O difference for retailers

More retailers are choosing to trade their outdated, disconnected ERP systems for Microsoft Dynamics 365 F&O. The popular ERP system is a great fit for many retailers. Here’s why:

It provides a modern store experience defined by connection

Dynamics 365’s unified POS app is not only cloud-engineered and designed, but it’s also optimized to run across Windows, iOS, Android and Web. This allows you to create a modern and immersive experience for both your staff and customers, giving them less friction and more flexibility.

It supports an omnichannel shopping experience

With Dynamics 365, all your sales channels, from your website, app and physical stores, work from the same central system. Because your customer data and product information are consistent across all channels and systems, your shoppers can enjoy an omnichannel experience that feels smooth and reliable, letting them easily switch channels without disrupting their shopping experience.

It simplifies merchandising

With Dynamics 365, merchandising has never been more straightforward. No longer hampered by disjointed systems and processes, D365 F&O’s product, catalogue, pricing and promotions management features give you clearer visibility and control over merchandising. Think about how much time that’ll save you!

It allows for operational improvements

Dynamics 365 F&O’s finance, supply chain and inventory functions result in simpler deployment, allowing retailers to better handle stock, get goods moving and manage their money. This translates to smoother processes day-to-day, lower running costs and, ultimately, a better handle on the business as a whole.

It provides real-time business intelligence

Dynamics 365 gives retailers the right information when they need it to make informed decisions. Role-based personalized workspaces and advanced data analytics mean your employees have access to all the information they need to make business decisions. That way, they don’t just make decisions with confidence, which are backed by evidence.

What do retailers like you get from using Dynamics 365 F&O?

It’s no surprise that Dynamics 365 F&O is popular with retailers across the world. We’ve helped retailers get the most out of the platform, helping them not only improve internal operations but also meet (and exceed) customers’ expectations. Here are some of the benefits you can expect by trading your outdated system for Dynamics 365 F&O:

Create immersive shopping experiences which increase customer satisfaction

With over 50% of customers saying they’ll switch to a competitor after a single unsatisfactory customer experience, retailers are under pressure to do more to keep customers happy. This starts with understanding your customers’ entire shopping journey from start to finish. Connection is the name of the retail game and, as we mentioned earlier, it just so happens to be Dynamics 365 F&O’s specialty.

The platform not only helps you create a unified brand but also supports your growth by helping you meet your customers where they are. Through cross-channel technology and personalized retail experiences, you build much stronger connections with customers and keep them coming back.

Acting as a single source of truth for retailers, Dynamics 365 connects the dots across a range of touchpoints, allowing for smoother customer journeys and better customer service.

Make better operational decisions with Dynamics 365 F&O’s built-in insights

Dynamics 365 F&O provides a strong data foundation and analytical tools to make informed decisions.
